Job Description

 

We invite self-motivated, initiative professionals to join our Administration Team. 

 

The Administration team plays a crucial role in ensuring the smooth and efficient operation of the firm. It is responsible for managing various administrative tasks, supporting different departments, and maintaining a productive and organized work environment. The successful candidate will be able to participate in supporting the firm together with the team.

 

Responsibilities:

  • Managing of various cleaning vendors
    • Handling of contracting / negotiation with them
    • Processing of respective invoices
    • Arranging of cleaning schedules and manpower
    • Sourcing of new vendors whenever required due to unsatisfactory performance or cost consideration etc 
  • Managing of various suppliers / vendors for office consumption & usage
    • Handling of contracting / negotiation with them
    • Processing of respective invoices
    • Arranging of delivery and escorting schedules
    • Sourcing of new suppliers / vendors whenever required
  • Managing GoBook data statistics, checking on the usage by different functions and managing the policy
  • Managing Procurement Policy and ensuring the team’s submission for KYC and Sentinel when required
  • Managing and maintaining Intranet content for Administration
  • Managing yearly budget and accrual exercise for Administration
  • Sourcing of emergency suppliers during crisis period, such as Covid-19 related items for office and staff’s usage
  • Sourcing of external venues
  • Assisting in any required work with co-colleagues
  • Any other ad-hoc duties / projects as & when required

 

Requirements:

  • Minimum of 5 years of experience in administration or similar capacities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Proactive and able to work independently with minimal supervision.
  • Problem-solving skills and the ability to handle crisis situations effectively.
  • Strong interpersonal skills and the ability to build and maintain relationships with vendors and internal stakeholders.
  • Flexibility and adaptability to changing circumstances and requirements.
  • Team-oriented with a collaborative approach to work.
