Job Description

 

We are looking for a dynamic and motivated individual to join our team

 

The role involves:

  • Debtors
    • Send a list of overdue invoices to Managers at the beginning of the month
    • Update replies/committed payment dates into the Debt Management System
    • Send email chaser/call client to follow up on payment status (upon Manager’s request)
    • Check receipt of payment with Finance
  • WIP
    • Send WIP report to Managers to review WIP/adjust ER/close code and coordinate with centralised team
  • Scope Change/Inflation/Costs Overrun 
    • Compile Managers' replies into an excel listing (for monthly reporting to PIC)
  • Ad-hoc matters
    • Extract detailed WIP report for Managers (with the breakdown of hours by staff level, with OPE breakdown, etc.)
    • Ad-hoc emails from the PIC team (status of engagement, shortfall in billings, WIP adjustments, etc)      
    • Extract expenses breakdown (if any)   
    • Responding ad-hoc requests from PIC (if any)                   
  • Budget exercise 
    • Input the budget info from EMs                                 
    • Upload the approval and budget pack into one drive folder   
  • New/Lost Client (for monthly reporting to PIC)
    • Maintain excel listing
    • Update lost client info into CRM
    • Update incumbent/succeeding auditor into CRM 
  • Assist the manager on any billing and credit notes issues            
  • Past Due Accounts (monthly reporting)
  • Admin duties (co-share with the DS) 
    • Supporting professional staff, including managers with all administrative matters such as: 
    • Arrange courier, assist managers’ request (loan laptop), booking meeting room for internal/ external meetings, facilitate clearance for resignees, onboarding for new staffs, liaise with the admin department on facilities and equipment breakdown etc.
    • Scanning of incoming mails and email to the auditors  
    • Ad-hoc (book meeting room - external reviewer, arrange timing for roundtable, Managers meeting,  assisting resignees' handover, etc)    
    • Monitors staff movement (MC/Urgent Leave)  

 

The ideal candidate should possess:

  • GCE 'O' level with a minimum of 3 years of relevant experience
  • Computer literate (ie. Microsoft Word, Excel, PowerPoint, and Outlook)
  • Good organisational and communication skills
  • Ability to work efficiently in a fast-paced environment
